Airline Travel Options

MAKING AIR RESERVATIONS

Penn State travelers can make air reservations through the following options: 

Priced itineraries are always required as receipts for airfare. Each administrative area may have internal procedures affecting travel arrangement and reimbursement. Before booking travel, please ensure you follow established guidelines and procedures in your area as well as University Travel Polices.

Payment and Reimbursement

Travelers can pay for airline tickets personally and get reimbursed, or they can use a Purchasing Card.

All travel incurred on behalf of the University is to be settled through the SAP Concur Reimbursement System. This system allows the settlement of charges on the Purchasing Card, as well as personally paid expenditures, to properly settle amounts due to the University based on purchasing card use, and to the employee based on personally paid expenses. Settlement of travel charges must be completed within 60 days of the completion of the trip but should be completed as soon as possible after travel. If the travel is funded by a sponsored award, the settlement should be completed within 30 days. See University Policy TR02 for further information.

Insurance

Airline tickets purchased on the Purchasing Card include $200,000 Accidental Death and Dismemberment coverage, including hearing, sight, and speech loss and worldwide message, medical, legal, ticket replacement, lost luggage, emergency translation, and prescription assistance.
